Privacy policy
Effective October 6, 2026. The plain-words version is shorter and says the same.
1. Who we are and what Omnoti is
Omnoti is a directory for clubs and the games that teach members each other’s names. It runs in a web browser and as an app for iPhone and Android. Omnoti is operated in the United States. Write to hello@omnoti.com about anything in this policy.
Each club is a separate space. Your club decides to use Omnoti, keeps its roster in it, and is responsible for that roster; Omnoti processes it on the club’s instructions. The terms the club agrees to are in the terms, including the data-processing terms.
2. What we collect
| What | Where it comes from | Why |
|---|---|---|
| Your name, preferred name, suffix, and a recording of how to say it | You, or your club’s roster | The directory and the games |
| Your mobile number and email address | You, or the roster; the one you sign in with is verified by a code | Sign-in, invites, codes, and what the club sends you |
| Contact details and birthday you choose to list, each with its own visibility | You, or the secretary on your behalf | So members can reach you the way you allow |
| Photos of you | You, or a club photo day, or the secretary | Stored, resized and shown. Nothing is ever computed from a photo: no face detection, recognition, matching or measurement, for any purpose |
| Facts you list: spouse or partner, children’s first names, hometown, occupation, employer, “ask me about” | You, or the secretary on your behalf | Shown to whom you choose; the club may use some kinds as questions in the games |
| Your membership: status, dates, offices, committees and other tags, reasons for ending | Your club | The roster is the club’s record |
| Your choices: who sees what, whether you are in the directory and the games, notifications, and the record of when you made each choice | You | To honor them and to show you did |
| Your learning history: which faces and facts you were shown and what you answered | The games | To schedule what you see next. Never shown to anyone else |
| Private notes you write about a member | You | Shown to you alone; deleted when either of you leaves the club |
| Answers you give the club: coming or not, shift sign-ups, seconds for a proposed member | You | The club’s headcount, schedule and vote |
| Messages the club sent you, and whether you opened each in the app | The club, the app | So the message waits for you; the secretary sees a count, never names |
| Your devices: a name, the platform, and a token for push notifications you allowed | Your device | Sign-in that lasts, and notifications you turned on |
| What officers did in the club’s admin pages | The app | The club’s own activity log, for the next officer |
Omnoti does not collect your location, your contacts, or anything from your camera roll beyond the photo you choose. This website sets no cookies and loads no tracker; the app uses no analytics service.
3. Who sees what
- Members of your club see your name, photo, the facts and contact details you set to the club, and your committees and offices.
- Officers your club marks as admin (the secretary, by default the membership chair) see the roster, contact details set to officers, invite and photo status, and the club’s activity log. They never see your learning history, your private notes, or who opened a message.
- You alone see your learning history, your notes, and anything you set to “just me”.
- Nobody is shown a ranking of who knows the fewest names. The club sees one number about a newcomer: how many members know them by name.
- Omnoti’s operators can reach the database to run the service and to answer a request from you or your club. We do not browse member data for any other reason.
A person proposed for membership is listed only to the club’s members, with the proposer’s words; their contact details are visible to officers alone until the club invites them. They are told Omnoti holds their details when the invite goes.
4. The services that carry it
Omnoti uses these providers, each bound by its own terms to process data only to provide its service to us:
| Provider | What for | Where |
|---|---|---|
| Railway | Hosting the application and its database | United States |
| Cloudflare | Storing photos and attachments; serving this website | United States and its network |
| Twilio | Sending text messages (sign-in codes, and the club texts you turned on) and receiving HELP and STOP replies | United States |
| Resend | Sending email | United States |
| Google Firebase | Delivering push notifications to the apps | United States |
| Apple and Google | Distributing the apps and delivering push notifications to devices | United States |
We do not sell personal information, share it for advertising, or let any provider use it for its own purposes. We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. We disclose information when the law requires it, and we would tell the club unless the law forbade that.
5. How long we keep it
- While your membership is active: everything above.
- When a membership ends: 30 days later, your photos, facts, contact details and private notes in that club are deleted. The roster keeps your name, dates and the reason the club recorded, as a paper roster would. Photos that belong to you in another club stay with that club.
- When you delete your account: your photos, facts, notes, learning history, devices and sign-in identities are deleted at once, in every club. Each club’s roster keeps your name and dates only.
- Sign-in codes: 15 minutes. Sessions: a year of inactivity, or until you sign that device out.
- Messages the club sent, answers you gave the club, and the club’s activity log: kept with the club’s records while the club uses Omnoti.
6. Your choices and rights
- See and download everything Omnoti holds about you: in the app, Me → Privacy → Download.
- Correct anything: Me → Edit my profile, or ask your secretary.
- Limit who sees your contact details and birthday, field by field; leave the directory or the games by asking your secretary, who records the request.
- Choose texts. Omnoti texts you a sign-in code when you ask for one, and the club’s urgent messages only after you turn them on under Me → Learning & reminders; that tap, the words shown with it and your number are recorded as your consent. Reply STOP to any text, or turn the switch off, and they stop.
- Turn off the meeting-morning reminder, the Friday email, and the club’s push messages under Me → Learning & reminders.
- Leave a club or delete your account: Me → Privacy. Deletion is immediate and cannot be undone.
- Ask us anything about your data, or to do any of the above for you, at hello@omnoti.com. We answer within 30 days. If you live somewhere that gives you further rights (to object, to restrict, to port, to complain to a regulator), you have them and we honor them.
7. Security
Everything travels over HTTPS. Sign-in codes are stored hashed and expire in 15 minutes; sessions are long-lived tokens stored hashed, revocable from any device. Photos and attachments are in private storage and served through short-lived signed links to signed-in members. Access to production systems is limited to the people who run Omnoti. If a breach affects you, we tell your club and you without undue delay.
8. Children
Omnoti is for adults. Nobody under 18 may hold an account, and every account confirms this at sign-in. A member may list their children’s first names as a fact about themselves; that fact is shown only to whom the member chooses and is never asked in the games unless the club turns it on.
9. Biometrics
Omnoti creates no biometric identifiers and no face geometry, templates, embeddings or measurements of any kind, from any photo, for any purpose. Photos are stored, resized for display, and shown to the people the member allows. This is a rule of the product, enforced in its code and checked on every change.
10. Changes
When this policy changes in a way that matters, every club is told by email before the change takes effect and this page shows the new date. Minor wording changes are made without notice.
